CREATE OUTLOOK RULE
Instructions from your Desktop
- Click “File” in the top left hand corner of Outlook
- Click “Manage Rules & Alerts” icon
- Click “New Rule” and choose “Apply rule on messages I receive” > click “Next”
- Check box for “with specific words in the body”
- Then under Step 2 section > click on “Specific Words” link
- Type in LTB-allday > click “Add” > click “OK” > Click “Next”
*Option: If you do not want to have to accept appointments, instead of LTB-allday, write LTBUID
- Select the top box “move it to the specified folder” > click on “Specified” link in step 2 > click “New” to create a new folder and name it “LTB Deadlines” > click “OK” > click “Next” > click “Finished”
**If your current rule is set to LTBUID, and you would like to switch it to LTB-allday so you will be prompted to manually accept time of day appointments, click here for instructions.
OPTIONAL RULE (Desktop): If you prefer that your users do not get notified when new matters are created, apply the following rule create another rule exactly as above, except on Step 6 type in View group in Outlook
Instructions from OWA
(Online Web Access)
- Log into Office 365 > Outlook > click the settings wheel in the top right hand corner
- Click “Mail” under “Your app settings” section
- On the left hand side of the screen click “Inbox and sweep rules”
- Click “+” to add new inbox rule
- Name: LTB Deadlines
When the message arrives, and it matches all of these conditions: it includes these words in the subject or body > “LTB-allday”
Do all of the following: Move the message to folder… > “LTB Deadlines” (create a new folder) - Click “OK”
OPTIONAL RULE (OWA): If you prefer that your users do not get notified when new matters are created, apply the following rule (note: if you apply this rule, it will be applied to all Groups created, not just groups created by LawToolBox)
